Understanding e-invoicing

What is InvoiceNow?

InvoiceNow is Singapore’s nationwide e-invoicing network, launched by the Infocomm Media Development Authority (IMDA) in 2019. Businesses of any size can send and receive invoices in a standard digital format, directly between their accounting or finance systems, with no manual handling.

The network runs on Peppol, an open international standard. Singapore was the first country outside Europe to use Peppol for private-sector B2B invoicing, and IMDA became the Peppol Authority in May 2018, responsible for certifying Access Point providers.

Invoices travel from your system, through the secure Peppol network, to your customer’s system. At the same time, the GST invoice data reaches IRAS in real time.

Did you know? Singapore was the first non-European country to join the Peppol network for business-to-business e-invoicing — part of the country’s broader Smart Nation and digital economy initiative.

FAQs

WebMax E-Invoicing(InvoiceNow) FAQ

What is InvoiceNow?

InvoiceNow is a digital invoicing service that enables businesses to send invoices directly from one accounting or finance system to another in a structured digital format.

It operates through the Nationwide E-Delivery Network, which is based on the Peppol network. This allows invoice information to be transmitted electronically and can also support seamless e-payment solutions such as PayNow.

A PDF e-invoice is commonly sent to the recipient by email. Although this is a digital process, the recipient still needs to manually enter the invoice information into their own accounting or accounts payable system.

InvoiceNow provides a more automated solution. Invoice data can be transmitted directly from the supplier’s system to the buyer’s system in a structured format, reducing the need for manual data entry. It can also support a more seamless payment process.

You can activate InvoiceNow through a Peppol-ready solution that is certified by IMDA, such as Webmax.

Webmax can help businesses connect to the InvoiceNow network and send and receive e-invoices electronically.

Most Access Points (APs) and Solution Providers (SPs) may charge transaction fees for sending and receiving InvoiceNow e-invoices.

As there are many APs and SPs available in the market, pricing remains competitive, and some providers may offer InvoiceNow features at no additional cost. Some providers offer a limited number of free e-invoices for small businesses, while others include InvoiceNow transactions as part of their existing software packages.

Some providers may also use tiered pricing, where the cost per transaction becomes lower as the transaction volume increases.

Additional charges may apply for value-added services, such as converting PDF invoices into the InvoiceNow Peppol format.

Overall, e-invoicing can help businesses reduce manual processing, improve efficiency and minimise administrative work, which may help offset the associated costs.

You can check whether your suppliers, customers and business partners are registered on the Peppol network.

For Singapore-registered businesses, you can search using the company’s name or UEN number.

When searching by UEN number, remember to include “0195:SGUEN” before the UEN number.

For example:

0195:SGUEN + UEN Number

This allows you to check whether the business is registered as a Peppol-ready participant.

No. Once an e-invoice has been finalised and sent through the InvoiceNow network, it cannot be recalled or retrieved.

The process is similar to sending an email — once the invoice has been transmitted to the recipient, there is no function to recall it.

If an invoice contains incorrect information, the supplier can issue a credit note referencing the original invoice to cancel or adjust the incorrect transaction.

Alternatively, the supplier may ask the recipient to reject or disregard the incorrect invoice and then issue a new, corrected invoice.

Under the current arrangement, the government does not directly access or monitor the contents of your invoices simply because they are sent through InvoiceNow.

Invoices are transmitted directly between the sender’s and recipient’s Access Point providers.

The central directory maintained by SGNIC contains the necessary business registration information to help Access Points identify and route invoices to the correct recipient.

The directory is used for routing purposes and does not mean that the government has direct access to the contents of your business invoices.
